Scope: Without a PIN, anyone with the link or QR code can open the selected records. Access lasts until expiry or revocation. The Training Passport is an organisation-held external view. It is not government or regulator verification, a compliance guarantee or a cross-organisation credential wallet. Only selected current reviewed or verified records are shown. Raw evidence files and private account details are excluded.

Scope: SkillProof provides governed LMS capabilities without an included accredited content library. It does not guarantee compatibility with every external package. Enrolments, SCORM, provider listings and integrations retain separate rollout controls.

GPEDocument publication approval
Send a document version for approval before it's published. The document's Overview shows one line saying where it stands and the next step: ask for approval, approve, or publish. Ask for approval searches only people who can approve. They approve in any order or one after another. Nobody approves their own request. If nobody else in the organisation can approve, the owner can approve and publish it alone. That is recorded as self-approved. Approvers and the requester see it in My Actions and the notification bell. Approvers also see every one in the Action Centre's approvals. Details, earlier requests and withdrawing a request open in a side panel. Publishing keeps a sign-off record and doesn't send the document to anyone.
Scope: Approval covers the exact version sent. Without a second person who can approve, it is recorded as self-approved.
GPESimple electronic signatures for documents
An owner or admin can send an uploaded PDF for simple electronic signature, with no publication approval first. Upload and send for signature starts it straight from the upload drawer. The request locks that exact version and file. Pick signers by name, or pick a department, site, role or everyone. Each person in a group signs their own copy. Signatures shows every document sent, one line each, with copies signed, waiting and past their deadline. Each document's Signatures tab lists its requests and opens who has signed. Export the view, or every copy, as CSV. Staff with no email address are named and left out. Someone outside your organisation can still be added by name and email. A delegated manager only reaches the staff they manage. A manager limited to their area sees, reminds, cancels and exports only their own people on Signatures. Everyone else is shown as people outside their area, each person counted once. Cancelled copies leave the count. A request that couldn't be sent says Not sent and why, and can be cancelled with no one told. Named signers on one copy sign in order or at the same time. Signers confirm an email code, then type or draw their signature or decline. The sealed PDF and completion certificate stay with the document. A public page checks a signed file against its reference.

Scope: An acknowledgement is not a legally defined electronic signature or proof that content was read and understood.
GPENew starter policy acknowledgements
New starters, and people who move into a policy's audience, get its acknowledgement automatically. Each policy can set how many days they have. Without that, anyone added after its due date gets as long as the first group had, so nobody starts overdue.
Scope: Applies to policy versions published with acknowledgement requested. A leaver's acknowledgements are kept as history.

SkillProof governs workforce requirements, records, evidence and follow-up from the training routes an organisation uses. It is not an accredited course provider and does not replace legal, regulatory or professional advice.
SkillProof Consultancy and the Partner Programme are separate from Starter, Growth, Professional and Enterprise. Enterprise SSO, bespoke integrations and migration support are scoped services; the Integration Hub's secure completion-ingestion and read-only learning activity APIs, plus signed webhooks, are available to authorised users from Growth.
It is not an enterprise content-collaboration suite, does not accept every file type, does not search file contents and never deletes files automatically from a retention date or disposal approval.
