Policy management software vs SharePoint: which fits the job?

Use SharePoint when document collaboration is the main job. Use a dedicated policy workflow when ownership, review, approval, publication, staff acknowledgement, replacement versions and audit history must work as one controlled process. Some organisations use both.

How to manage policies in SharePoint

Most teams that run policies in SharePoint use one document library as the policy register. The library holds the approved files, and columns on the library hold the details people need to manage them.

Turn on version history so earlier versions are kept, and use content approval or an approval flow so a draft is not visible to everyone until it has been signed off. Give edit rights to policy owners only and read rights to staff.

Reviews and read confirmations need extra set-up. Teams usually add a Power Automate flow to remind owners before the review date, and a Microsoft Form or List to collect staff confirmations. Each of those is a separate thing to build, own and check.

When SharePoint may be enough

SharePoint can be a strong fit when the priority is drafting, co-authoring, storing and publishing controlled documents inside Microsoft 365.

Its libraries can retain version history and can be configured with approval processes. If a small group owns the policy and staff acknowledgement is not required, that may cover the job without another system.

Compare the full policy lifecycle

Do not compare tools only by whether they can hold a file. Test the full route from draft, review and approval to publication, audience assignment, acknowledgement, reminders, replacement, archive and reporting.

A feature on a product page is not enough. Confirm how it is configured, who maintains it and what evidence can be exported later.

A dedicated workflow helps when each policy needs an owner and review date, the audience changes by role or team, and managers must see who has not completed the required action.
