Use a consistent record structure

Each record should show the person, training item, completion date, renewal date, evidence status and owner.

Consistent fields make reports more reliable. Agree which system is the source of truth for staff, roles and leavers so old or duplicate people do not distort the matrix.

Use controlled training titles where possible. ‘Fire safety’, ‘Fire Safety 2026’ and a provider's course title may describe the same requirement but appear as three separate rows.

Connect records to roles

Training by role helps managers understand whether a missing record is a real gap or not applicable.

Give role rules an owner and review them after organisational or process changes. When somebody changes role, keep their historical completion record while recalculating what is currently required.

Report on exceptions

Managers should focus on overdue, due soon and missing evidence records.

Separate data-quality exceptions, such as a missing role or completion date, from genuine training gaps. Both need action, but they should not be reported as the same problem.
