What is policy management software, and what should it control?

This guide explains how policy management software controls the lifecycle around a policy, not just the file: current version, owner, review state, audience, staff action and retained history.

What it should help you manage

At a basic level, policy management software should make it clear which policy is current, who owns it, who can see it and when it needs review.

A governed workflow can also cover review, approval, publication, acknowledgement, replacement versions, archive and audit history. The depth varies by product and plan.

  • Policy document, current version and publication state
  • Owner, reviewer, approver, review date and expiry date where supported
  • Audience and visibility rules
  • Version-linked acknowledgements or other staff actions
  • Replacement, archive, audit history and reporting

Policy management is not always full GRC

Some systems are broad enterprise governance, risk and compliance platforms.

SkillProof focuses on staff policy evidence alongside training records, certificates, CPD, registrations and audit packs. It will not replace specialist risk registers, control libraries or board-level GRC workflows.

How SkillProof handles the staff record

SkillProof holds governed policy records, ownership, dates, visibility, version history and version-linked acknowledgements from Growth. Professional and Enterprise add optional named review and approval before publication.

Policies can also link into staff Activities for declarations, checklists or questions. This keeps policy evidence beside the wider workforce record. An acknowledgement is not an electronic signature and does not by itself prove understanding.

Questions this guide answers

Is policy management software the same as document storage?

No. Document storage holds files. Policy management should also help with ownership, review dates, visibility and evidence of staff acknowledgement where needed.
