Record the details you need
For each person, record the registration type, reference number, renewal or review date, status and evidence notes.
Only store information your organisation has a valid reason to manage. Keep the regulator's status separate from your internal follow-up status so an overdue admin action is not confused with a confirmed lapse in registration.
Be clear about manual checks
If you check a public register or professional body account manually, record the check date and outcome.
Do not describe this as an integration unless your software really connects to that body. Record who completed the check and use the regulator's own wording for restrictions, annotations or other conditions rather than paraphrasing them.
How to check each professional register
Each regulator publishes its own register, and the official register is the only place to confirm someone's current status. Check before the person starts, again before each renewal date and whenever you are told about a change.
When you check, note what the register showed, including any conditions or annotations in the regulator's own words, the date and who checked. The official register links are listed in the sources on this page.
- Nurses, midwives and nursing associates: the NMC register, searched by name or PIN
- Allied health professionals such as physiotherapists and paramedics: HCPC Check the Register
- Doctors, physician associates and anaesthesia associates: the GMC registers
- Pharmacists and pharmacy technicians: the GPhC registers
- Social workers in England: the Social Work England register
- Door supervisors and other security staff: the SIA Register of Licence Holders
- Construction workers: CSCS card checks, including the CSCS Smart Check app
- Financial services: the FCA Financial Services Register for firms and certain individuals
Separate the body status from internal follow-up
Record the wording shown by the professional body and the date checked. Keep that separate from internal labels such as review due, evidence missing or manager action open.
For example, a registration may still be current on the authoritative register while the organisation's dated copy of the evidence is missing. That is an evidence follow-up, not proof that the person's registration has lapsed.
Use reminders and reports
Due soon and expired registrations should be visible to the people responsible for follow-up.
Set the warning period around how long renewal and escalation normally take, not an arbitrary default. Decide who contacts the worker, who checks the regulator and who can close the action.
